Instructions on accessing and using BYU Cloud Email (Office 365)

Outlook Desktop Application on Windows
Once your account has been migrated to the new email system, the Outlook desktop application on Windows computers should be automatically redirected to the new mail server. If Outlook is open during the upgrade, you will receive a message asking you to restart Outlook. In this case, simply click OK and restart Outlook.If you receive a username prompt, use your Net ID followed by @byu.edu for the username like this: <Net ID>@byu.edu. (If you see “BYU\” in the text field, delete that segment.)
If Outlook does not connect automatically, you may need to remove your email account profile and create it again. For instructions on how to do this click on this link.
Note:
Your Outlook app version must be Outlook 2016 or later to log on to the new BYU Email system. If your Outlook desktop app needs to be upgraded or if you need any help, please contact Student Life Technology at 801-422-3993. -

Outlook Desktop Application on macOS
Once your account has been migrated to the new email system, the Outlook desktop application on Mac computers should be automatically redirected to the new mail server. Outlook may request permission with a popup before making the switch.
Check the box for “Always use my response for this server”, and click Allow.If you receive a username prompt, use your Net ID followed by @byu.edu for the username like this: <Net ID>@byu.edu. (If you see “BYU\” in the text field, delete that segment.)
If Outlook does not connect automatically, you may need to remove your email account profile and create it again. For instructions on how to do this click on this link.
Note: Your Outlook app version must be Outlook 2016 (version 15.20) or later to log on after the upgrade. If your Outlook desktop app needs to be upgraded or you need any help, please contact Student Life Technology at 801-422-3993.

Apple Mobile Clients
For mobile devices, the best method is to delete the existing email account profile and create it again.For instructions, see:
- Configure using the Outlook App – go.byu.edu/outlookmobile
- Configure using the native Mail App (through Settings) – go.byu.edu/iemail
Note: If your iPhone/iPad is running iOS 11.x or greater, the native Mail app should be able to authenticate to Exchange Online, but we recommended that you install the Outlook app on iOS version 11.x and greater. Contact Student Life Technology at 801-422-3993 if you need help.

Android Mobile Clients

Note: The Microsoft Outlook app MUST be used on Android devices (because Android native mail apps do not have Modern Authentication support). Contact Student Life Technology at 801-422-3993 if you need help.

Web Client
The URL for the webmail client will change. The new webmail client will be accessed by logging in at:
Login using your Net ID followed by @byu.edu for the username like this: <Net ID>@byu.edu. Use your normal BYU password.
The first time that you access your mailbox in Exchange Online, pick your language and time zone. Click Save to proceed.

Toggle ItemShared Email Account (Generic/Department Accounts)
To access your new Shared Email Account from a web browser:
1. Go to outlook.office.com in any browser
2. Login using your Net ID followed by @byu.edu for the username like this: <Net ID>@byu.edu. Use your normal BYU password.
3. In the top right corner of the screen, click on your initials and choose "Open another mailbox"
4. This will bring up a search box. Search for your Shared email account address. Once you find it, click open
5. This will open another screen with access to all your emails in that new Shared account.
6. This last page can be bookmarked in the browser for easier access in the future.To access your new Shared Email Account using Outlook on a Windows PC:
1. Open Outlook
2. Go to File, then Account Settings, then Account Settings
3. Click "New" to add another email account
4. Type in the email address of the Shared Account and click Connect
5. Select Office 365 if asked what type of account
6. On the Sign In page, delete an address that is prefilled and type your netid@byu.edu as the email. Click Next
7. Type your BYU password, click Sign in and authenticate using DUO
8. Click Done and close the Account screen.
9. Restart Outlook
It may take a minute for the new account to appear in Outlook once it is restarted.To access your new Shared Email Account using Outlook on a Mac:
(You must already have your personal BYU email account setup in Outlook)1. Open Outlook
2. Click the "Tools" tab then click on Accounts
3. Click on the + in the bottom left hand corner and click Open Shared Mailbox
4. Type in the email address of the Shared Account, select the account, and click Add
5. Close the Account screen.
8. Restart Outlook
It may take a minute for the new account to appear in Outlook once it is restarted. -
Toggle ItemVoice Mail
If your voicemail is linked with your email, your voicemail will be changed to a new system. You will need to setup your pin code and voice message again.
If you are in your office, press the Messages button and enter the temporary pin 142106. Follow the simple prompts to set your new pin and record a new voice message.
If you would like to access your voicemail from off campus, please call 801-422-8843 (this is a new number). At the prompt press * then type 2 and your extension (ie. 23993) followed by #. Next type your pin (temporary pin is 142106) followed by #.
